What is the best AI note taker for sales teams in 2026?
For a sales team, the best AI note taker in 2026 is Midcall, with its Notetaker plan. Midcall takes notes like the others, then analyzes every meeting, every rep and every deal the way a conversation intelligence platform does, with a 5-minute setup. And with its Live Coach plan, it also coaches your reps during the meeting, which makes it the most complete tool on the market for helping a sales team improve.
We compared it, feature by feature, with the 7 tools sales teams look at most often: Gong, Modjo, Claap, Leexi, Fireflies, Fathom and Otter. Prices were checked on October 27, 2026 on each vendor's website.
Why isn't an AI note taker enough for a sales team?
An AI note taker is an assistant that joins your meetings on Google Meet, Microsoft Teams or Zoom, records them, transcribes them and writes meeting notes with the next steps. It is also called an AI meeting assistant or AI notetaker.
For a rep, that is already a real relief. No more typing while the prospect talks, no more writing up notes at night. But meeting notes tell you what was said, not what to do about it. They won't flag that discovery stayed on the surface, that the objection about timing was never handled, or that the deal has little chance of closing this quarter.
To know that, you need conversation intelligence, meaning a tool that analyzes every meeting, every rep and every deal. And to fix things before it is too late, you need help during the meeting itself. A sales team needs 3 things, and most tools cover only one or two.
| What the team needs | What it changes | What Midcall does |
|---|---|---|
| Reliable notes | No more data entry, with notes and an up-to-date CRM after every meeting | Deal-focused notes sent to the CRM, with the Notetaker plan |
| Meeting analysis | Knowing what each rep should work on and where each deal stands | Skill-by-skill scores, objection tracking and a confidence score on every deal |
| Live coaching | Handling an objection or completing qualification while the deal can still tip | Tips during the meeting, with the Live Coach plan |
What does Midcall do that a regular note taker doesn't?
Midcall's Notetaker plan is built for sales meetings, whether it's a product demo, a discovery call or a deal review. Here is what it gives reps and their managers.
Notes built around the deal
The note taker joins your meetings on Google Meet, Microsoft Teams and Zoom, under the name and image of your choice. It transcribes the conversation in any language and writes notes about the deal, with the key takeaways, the need, the decision maker, the objections and the next steps, which the rep ticks off as they go. Midcall even drafts the follow-up email, which you review before sending. The notes then go to your CRM. Midcall integrates with HubSpot, Salesforce and Attio, and other integrations are available on request.
You can find any moment by searching across all your meetings, and Midcall suggests ready-to-share video clips around the moments that matter, such as an objection, a buying signal or a monologue that ran too long.
This is not a detail. According to Salesforce's State of Sales 2026, 54% of sales teams already use AI agents, and 46% of the professionals who use them say poor data quality hurts their sales. A CRM filled in at night, from memory, skews everything that follows. A CRM filled in from what was actually said in the meeting is one you can trust.
Built-in conversation intelligence
Every external meeting is scored skill by skill. Each score is backed by the exact words spoken during the conversation, at the exact moment they were said, along with the line the rep should have used instead. Debriefs finally run on facts, not impressions.
Midcall also flags the prospect's key moments, every objection, every half-voiced concern and every buying signal. For each objection, it tells you whether it was handled or left unanswered. The qualification framework of your choice, BANT, MEDDIC, SPICED or SPIN, is tracked criterion by criterion, with the prospect's own words for each validated point and what is still to secure in the next conversation.
Meeting after meeting, Midcall tracks each rep's strengths and areas for improvement. Managers see who is progressing, who stalls in negotiation and which objections come up most across the team, and they get a detailed coaching summary every week.
Midcall also tracks your deals. It rebuilds your pipeline from your meetings, with each deal's stage, next action and a 0 to 100 confidence score on its closing potential. The score draws on every touchpoint connected to your CRM (video calls, emails and phone calls) and updates with each new exchange. Won and lost deals are logged, loss reasons included, and before each meeting Midcall reminds you what was said last time and which objections are still open. Finally, you can ask Midcall questions in plain language about a meeting, a deal, a rep or the whole team, including from Claude or Codex through MCP.
Live coaching, during the meeting
This is Midcall's specialty. With the Live Coach plan, Midcall supports your reps during the meeting itself. It gives them the right tip at the right moment, helps them handle an objection as it comes up and tracks qualification in real time, without the prospect seeing anything. After the meeting, you see which tips were applied and which of the prospect's key moments were covered. Midcall also preps your meetings from all your exchanges with the prospect, and gives managers a cockpit to follow their team.
It is the most powerful live coach on the market for sales, because it is entirely specialized in sales. The few live coaches offered by other tools are meant for recruiting interviews and internal meetings as much as for sales. Midcall is built from the ground up for sales meetings. Every Notetaker plan includes a 7-day trial of live coaching.
Same meeting, two sets of notes
Take a 42-minute demo with Claire, VP of Sales at Nexora, a fictional company. Here is what you get when the meeting ends with a general-purpose note taker, then with Midcall.
| General-purpose note taker | Midcall | |
|---|---|---|
| Summary | Product presentation. Discussion of new hire onboarding, pricing and timeline. | Nexora wants to shorten the 6 months it currently takes a new rep to close a first deal. Decision expected before quarter end, with the CFO involved. |
| Next steps | Send a proposal. | Proposal before Friday. Meeting with the CFO next week, not booked yet. |
| Objections | Missing | Price per seat (handled), rollout time (not handled) |
| Meeting quality | Missing | 72/100, with discovery as the strength and a meeting that ends without a decision date |
| CRM | Copy and paste it yourself | Next step, decision maker and open objection sent to HubSpot |
Both sets of notes are accurate. The first one tells the story of the meeting. The second one tells you where the deal stands, what is still blocking it and what the rep needs to fix in the next meeting.

How does Midcall compare with Gong, Modjo, Claap, Leexi, Fireflies, Fathom and Otter?
Both tables reflect what each vendor documents on its own product, help and pricing pages, checked on October 27, 2026. "Separate license", "Paid add-on" and "AI credits" mean a feature you pay for on top of the subscription. "Partial" points to the details in the tool reviews below, and "No" means the vendor does not offer or document the feature.

Midcall vs Fireflies, Fathom and Otter
These 3 tools are general-purpose note takers first. They take notes in all your meetings, but they are not in the same league when it comes to helping a sales team improve.

How do the other tools perform for a sales team?
Gong
Gong is a revenue intelligence platform built for large sales organizations. It analyzes conversations, assesses deal health and supports sales forecasting. Price on quote, with a per-user license plus a platform fee, broken down in our Gong pricing guide. Its limits are those of a tool sold in separate building blocks. Coaching and deal scoring each require a separate license, and deal scores only appear once you have at least 50 won and 150 lost deals over 2 years. Gong itself announces several weeks of onboarding. You commit a significant budget without knowing whether your teams will adopt the tool.
Modjo
Modjo is a French conversation intelligence platform. It fills in the CRM, scores meetings against your scorecards and answers questions about a meeting or a deal. Price on quote, designed for teams of 3 reps or more according to the vendor, as detailed in our Modjo pricing review. Its limits start with the rollout. Modjo announces a 30-day onboarding, including 2 to 4 weeks to roll out CRM auto-fill, an investment made before you know whether the team will follow. No deal gets a confidence score, as Modjo relies on risk alerts you configure yourself, and objections are flagged without telling you whether they were handled.
Claap
Claap records meetings with or without a bot. Its Business plan adds CRM auto-fill, scorecards and deal tracking by qualification criterion. Price free on Basic, then $32 on Pro and $60 on Business, per seat per month billed annually. Its limits show up quickly. All sales analysis requires the Business plan, no deal gets a confidence score, and rep tracking is limited to how their scores evolve criterion by criterion. Claap itself states that it does not help reps during the call. It is also a very dense tool, from async video to AI agents, and sales teams often use only part of it.
Leexi
Leexi is a French note taker that hosts its data in France and takes less than an hour to set up, according to the vendor. The Business plan sends notes to the CRM. Price from €12 to €39 per license per month, billed annually before tax. Its limits come from its add-on model. Scorecards and CRM field auto-fill require the Coach add-on, at €16 more per month, so a seat equipped for sales comes to €55. Even at that price, no deal is scored, objections are not tracked through to resolution, and progress is not broken down rep by rep.
Fireflies
Fireflies is a general-purpose note taker that transcribes and summarizes all your meetings and connects to a broad catalog of tools. Price free, then $10 on Pro, $19 on Business and $39 on Enterprise. Its limits come from its DNA. Sales analysis is a layer added to a tool designed for every kind of meeting. CRM auto-fill and deal analysis are reserved for the Business plan, and meeting scoring runs on "AI Skills" billed in credits, which makes costs hard to predict. Objections are flagged without tracking whether they were handled, and there is no weekly coaching summary.
Fathom
Fathom offers a free plan with unlimited recordings and transcripts. Price free, then $15 on Team and $25 on Business. Its limits appear as soon as you sell. CRM sync, the deal view and scorecards are reserved for the Business plan, with a 2-user minimum. Fathom documents neither the skills it scores nor the quotes behind each score, no deal gets a score and there is no weekly coaching summary.
Otter
Otter transcribes your meetings on video calls and in person through its mobile app, with a free plan capped at 300 minutes per month. Price free, then $8.33 on Pro and $19.99 on Business. Its limits are clear for a sales team. Sales features are reserved for the Enterprise plan, on quote, and CRM field auto-fill is still in beta there, for Salesforce only. Otter documents no skill scoring, no rep tracking and no deal scoring.
tl;dv and Granola are primarily note-taking tools, and Avoma sells sales analysis as paid add-ons, as our Avoma vs Midcall comparison shows.
How long does it take to equip a sales team?
With Midcall, 5 minutes. You connect your calendar, Google Calendar or Outlook, then your CRM, and choose which meetings the note taker should join. For all it does, the tool is easy to pick up from day one. Every rep finds their notes, score and tips without any prior training, and if you wish, we train your team in half a day.
With Gong and Modjo, getting equipped becomes a project, and adoption becomes a bet. Gong states that its customers typically complete onboarding within several weeks, and Modjo announces a structured 30-day onboarding, including 2 to 4 weeks to roll out CRM auto-fill. You pay for the platform before knowing whether your teams will actually adopt it. We often see the same story. The tool gets bought, a few managers use it at first, then the reports pile up unread.
General-purpose note takers install in minutes, but sales analysis is either missing or reserved for higher plans.

Frequently asked questions
What is the best AI note taker for sales teams?
Midcall, with its Notetaker plan. It takes notes, fills in the CRM and analyzes every meeting like a conversation intelligence platform, with skill-by-skill scores, tracking of handled and unhandled objections, each rep's strengths and areas for improvement, and a confidence score on every deal. It takes 5 minutes to set up, and Midcall's Live Coach plan also coaches your reps during the meeting.
What is the best free AI note taker?
Fathom, Fireflies, Otter and Claap offer free plans for taking notes, but for a sales team that is where they stop. CRM auto-fill, meeting scoring and deal analysis are on their paid plans. Midcall also offers a free trial. Book a demo to try it on your own meetings.
What is the difference between an AI note taker and conversation intelligence?
A note taker documents a meeting, with the recording, the transcript, the notes and the next steps. Conversation intelligence analyzes a whole team's conversations, from each rep's skills to objections and deal health. Midcall's Notetaker plan does both, without a rollout project.
Does Midcall coach reps during the meeting?
Yes, with its Live Coach plan. Midcall gives the rep the right tip at the right moment, helps them handle objections as they come up and tracks qualification in real time, without the prospect seeing anything. Every Notetaker plan includes a 7-day trial of live coaching.
Can Midcall replace Gong or Modjo?
Yes. Midcall takes notes, fills in the CRM, scores every meeting and every deal and sends a coaching summary every week, with a 5-minute setup instead of several weeks. It works just as well for 3 reps as for more than 100, and it adds what neither Gong nor Modjo offers, live coaching during the meeting.
How much does an AI note taker cost for a sales team?
Note-taking plans range from free to around $20 per user per month. As soon as you want sales analysis, the bill goes up. You need the Business plan at Claap ($60), Fireflies ($19) or Fathom ($25), and the Coach add-on at Leexi, for €55 per seat. Midcall is quote-based, like Gong and Modjo, and you can try it for free after a demo.
Is Midcall easy to use?
Yes. Setup takes 5 minutes, just long enough to connect your Google or Outlook calendar and your CRM, and every rep finds their notes, score and tips without prior training. If you wish, Midcall can train your team in half a day.
Do AI note takers work in languages other than English?
Yes, every tool in this comparison handles several languages, and Midcall transcribes every language. The real difference lies in the quality of the notes and in understanding sales vocabulary. Always test a note taker on one of your real meetings before choosing.
Do I have to tell prospects that an AI note taker is recording?
Yes. The people you meet should know the meeting is recorded, and a note taker that joins visibly, under a clear name, makes that feel natural. One sentence at the start of the meeting is enough to say it without breaking the flow of the conversation.
Where does the data recorded by an AI note taker go?
It depends on the vendor, and it is worth asking before you sign. At Midcall, the list of subprocessors is public, your conversations are never used to train a model, and the note taker joins the meeting visibly, under the name you choose.
Which AI note taker for a founder who still sells?
A founder who still closes a good share of deals needs reliable notes, an up-to-date CRM and an objective view of their meetings, often with no manager to provide it. Midcall covers all three with its Notetaker plan, keeps the history of every deal and can coach the founder during meetings with its Live Coach plan.
